A UV printer order rarely runs late because a factory is slow. It runs late because three separate clocks - build, freight and site readiness - were treated as one number, and only one of them was ever written down.

This guide breaks UV printer lead time into the stages that actually consume it, explains what the factory's order-to-shipment figure covers and what it does not, and sets out the schedule terms and parallel tasks that let you quote a realistic installation date to your own customer.

What a UV printer lead time actually contains

One clock runs at the factory, one runs in transit and at the border, and one runs inside your building. Only the first is under the supplier's control, and only the first is usually quoted.

The factory clock covers engineering review, configuration freeze, build, internal test and crating. The transit clock covers booking, loading, freight, import clearance and delivery to site. The site clock covers power, floor, access, extraction and the technician window. Treat them as a chain: the machine is not productive until all three have finished, and a fortnight saved in freight can be lost entirely to a doorway that was never measured.

That is why a single "lead time" figure is a weak planning input. Ask for it in stages, and you can see which stages you control, which the supplier controls and which the freight forwarder controls - and where to add contingency.

Which stages happen before the machine is built?

Configuration freeze is the stage that most often moves.

Before the build is scheduled, the platform size, printhead count, ink channels, fixtures and delivery details have to be fixed, and every later change restarts part of that process.

The sequence is short but unforgiving: technical review of your substrate list and part sizes, a configuration proposal, sample test where the substrate is uncertain, and a written configuration sheet that becomes part of the contract. Machines are built to order, so the schedule you are given is a slot in a build plan - and a slot that is released by a late change may not be recoverable on the original date.

Use this stage to settle everything that is still open: power supply and phases, extraction expectations, access route dimensions, fixture requirements, training dates and the acceptance criteria for the pre-shipment test. Suppliers who build to order will confirm a shipment date against the frozen configuration, which is why a well-prepared buyer often gets a shorter schedule than a buyer with the same machine but an unresolved specification.

Build, internal test and pre-shipment acceptance

The build itself is only part of the factory clock. A machine that will be crated has to be assembled, aligned, tested with artwork on a representative substrate, and accepted against criteria before it is packed.

Ask what the internal test proves and who signs it. At minimum, the record should identify the serial number, the configuration, the artwork and substrate used, the settings applied, the properties checked and the result. If your acceptance criteria include measurements you took on a sample, ask for the same measurements in the factory test, so that the pre-shipment result means the same thing as your own test.

This is also the point to confirm what travels with the machine: manual, electrical and pneumatic diagrams, spare-parts list, calibration schedule and the commissioning test record. Document problems discovered in transit are far easier to resolve while the crate is still at the factory, and a test record tied to a serial number is what makes that possible.

What freight mode does to the schedule

Freight choice is a schedule decision before it is a cost decision. Air shortens transit but changes handling and cost structure; sea is economical but adds weeks and is exposed to port congestion; road and rail combinations depend on the destination and the border.

For a wide-format machine, the practical constraints are usually weight, crate dimensions and lifting equipment rather than speed. Ask the supplier for the crated dimensions and weight before you choose a mode, then check them against your access route: door widths, lift capacity, ramp gradients and corridor turns. A machine that cannot physically reach the installation position has an infinite lead time.

Where the machine crosses a border, the documents matter as much as the freight. Delivery terms should follow an Incoterms 2020 rule with a named place, so there is no ambiguity about who arranges freight, insurance and import clearance. Import clearance and site readiness in parallel

Clearance and site preparation should not be sequential. While the machine is in transit, your team can confirm the documents, prepare the floor and power, and book the technician window, so that commissioning starts the day the crate is unpacked.

On the documentation side, confirm the commercial invoice and packing list against the frozen configuration, verify what product documentation accompanies the machine, and check whether any conformity paperwork is needed for your market. Machinery placed on the market in the European Union is covered by the Machinery Regulation (EU) 2023/1230, which replaced the Machinery Directive 2006/42/EC and applies from 20 January 2027; the European Commission's pages on machinery legislation explain the current obligations.

On the site side, treat readiness as a task list with an owner: final position marked, floor loading checked, power supply and phases confirmed, extraction or filtration planned, material storage allocated, and the access route cleared of anything that will not move on the day. Where schedules slip and how to protect the date

Schedules slip in predictable places: a configuration change after the freeze, incomplete import paperwork, and a site that is not ready when the crate arrives. Each has a different owner, and each is easier to prevent than to recover.

On the factory side, freeze the configuration in writing and route every later change through a documented decision. If a change is genuinely necessary, ask for its schedule impact before approving it, not afterwards. On the freight side, prepare the documents against the frozen configuration, and confirm the Incoterms rule, the named place and who files the entry. On the site side, finish the utilities and access work before the machine is loaded, not during transit.

The most useful habit is to name a single internal owner for the schedule and give them the staged plan, with authority to escalate when a stage looks late. Weekly visibility beats daily chasing: a short review of the staged plan catches a slipped date while it can still be recovered. A schedule with three clocks and no owner is the reason the same delay gets rediscovered three times - once by the buyer, once by the forwarder and once by the technician standing outside a locked loading bay.

What the supplier's order-to-shipment figure covers

An order-to-shipment figure covers the factory clock only. It describes how long it takes to build, test and crate your configuration, and it stops at the dock - which is useful, but only if you do not mistake it for a delivery date.

AndresJet, for example, states an order-to-shipment lead time of approximately ten days for its machines. That is a factory figure: it assumes a frozen configuration, an available build slot and a completed internal test. Freight, clearance, delivery to site and commissioning are added on top, and their duration depends on destination, mode and how ready your building is.

Read any lead-time claim the same way. Ask which stages it includes, what assumptions it depends on, and what voids it - a configuration change, a non-standard ink set, a custom fixture, or a peak period in freight capacity. Then ask for the full staged schedule for your order, because that is the number you can quote to your own customer.

A staged schedule you can contract

The schedule that works in a contract states stages, dates and the party responsible for each. It converts "lead time" from a claim into a plan you can monitor, and it makes a slip visible in the week it happens.

Contract the stages rather than a single date, and agree what happens when one slips: who is notified, within what time, and how the remaining stages are re-planned. Keep one schedule document that both parties update, with the date of each change recorded. That clause and that document are worth more than a week off the quoted lead time.

What to confirm in writing before paying a deposit

Six items should be confirmed before a deposit leaves your account, and each one is cheap to settle now and expensive to argue about later.

  1. The frozen configuration, attached as an annex to the order.
  2. The staged schedule with dates and responsible parties per stage.
  3. Acceptance criteria for the pre-shipment test, referencing your own sample if you have one.
  4. The Incoterms rule and named place, plus who prepares the import documentation.
  5. What is included at installation: mechanical setup, commissioning tests, training days and handover.
  6. The remedy if a stage slips, including the notification window and how the remaining schedule is rebuilt.

With those six in writing, the schedule becomes manageable, and the day the machine is promised to your customer is a date you can defend rather than a hope you inherited from a quotation sheet.
